Job Description:



  • To visit each patient, enquire his or her need before 12-noon every day and forwarded and coordinated to the concerned departments accordingly

  • To help the patient s attendees and visitors to carry out the treatment successfully

  • To keep the ambience neat and tidy

  • To prepare bed status on the notice board

  • To attend phone calls

  • To maintain the patient s case sheet neatly with all the necessary materials including investigation reports, Progress sheet, Diet chart, Consent forms and billing card etc,

  • To update the day s work in the secretary s log book

  • To keep all register in the ward

  • To inform the status of VIP / referral patients to GM s office, DMS s office

  • To carry out doctors instructions

  • To raise requisition slips in the computer for various investigations needed for the patient (Radiology, Pathology, Blood bank, Dietary, Housekeeping, Physiotherapy etc,)

  • To collect the investigation reports and maintain the same as per the Credit / Cash mode

  • To arrange transport facility to transfer the patient for outside facility ( MRI / KGS / others)

  • To maintain required stock of stationary items and other necessary materials

  • To obtain billing consent before surgery

  • To maintain the Operation theatre register for surgery / procedures list with all necessary details daily ( Type of Surgery / Name of the Surgeon & Anesthetist, patient s name and ward details)

  • To maintain the Operation theatre intimation registers to be filled and duly signed by the concerned

  • To update the Against Medical Advice (AMA), Death Register regularly

  • Birth, Medical Termination of Pregnancy (MTP), Intra Uterine Device (IUD) and Sterilization registers to be maintained by the concerned Ward Secretary

  • To prepare the Supplementary bill card to the billing department once a week

  • To send the updated billing card to the billing department one day in advance of the proposed discharge of the patient

  • To coordinate with the duty medical officers / Consultants to get the discharge summary ready at the time of discharge

  • To complete the discharge process checklist

  • To explain the discharge intimation slip

  • To ensure the hospitalization bills are settled

  • To intimate the discharge to concerned departments like housekeeping, dietary, admission counters

  • To co-ordinate with Transport department if the patient needs ambulance services for transportation after discharge

  • To collect the feedback forms from the patient and to be forwarded it to Guest Relations Department

  • To hand over the discharge summary with in the time limit to the patient / credit department / file copy

  • To devolve the completed medical files with all the necessary materials to Medical Records Department with in the time frame


Intensive Care Unit / Critical Care Unit & Neonatal Intensive Care Unit


  • To update log and nominal register

  • To prepare bed status on the notice board

  • To co-ordinate with admission counter and wards for shifting the patients

  • To check for double occupancy

  • To follow the forms like Consent / Critical illness form etc,

  • To update the billing card with the usage details of equipment/ monitors etc,

  • In case of sick / Expired patients,


    • To inform the patient s attendees

    • To help the relatives / attendees

    • To speed up the billing procedure

    • To pass the death information to concerned departments



  • In case of MLC death, patient death summary, death certificate and other record photocopies are handed over to Security Officer


Night Ward Secretary


  • Taking over the pending works from the evening shift

  • To Make rounds and raise the investigation slips

  • In case of death in Emergency / ICU / CCU / Wards, to follow the procedures as per the policy

  • To send the billing card to the billing department

  • To Report to the Head of the Department in the morning

  • To participate and contribute to departmental quality initiatives

  • To be aware of departments performance and objective

  • To carryout data collection/support in data collection

  • To adhere the safety norms of hospital and follow both patient safety and staff safety rules

  • To perform any job / task as and when assigned by the superior

  • Any other responsibility as deemed fit from time to time by the Management
