Job Description:

Senior Administrator

Key responsibilities will include, but not be limited to the following Organising the Offshore Admin workload ensuring fair and even distribution of work
Acknowledging, responding and fullfilling all work requests within agreed service levels
Following up staff for timesheet completion every Thursday to ensure to avoid timesheet suspense in following week
Ensuring that CVs are format to Group approved format prior to sending to the WIN Team for bid submissions and/or uploading to Compass; ensuring that CVs for BID submissions take priority
Responsibility for ensuring all offshore staff are CV trained and have refresher training as necessary
Providing additional support to the MME WIN TEAM as and when required
Preparation and formatting of arrange of documents including letters, bulletins, organisation charts and reports
Ensuring all staff leave requests are booked on FiFi timesheets and approval is sought and gained in advance of leave being taken by the team
Ensuring expense claims are checked, approved and submitted in a timely manner
Maintaining all data accurately and reliably using a shared document filing system on SP with Onshore staff
Managing the Offshore Admins leave and maintaining a leave planner ensuring that a good service is maintained
Ensuring Offshore Admin are trained and compliant with BMS, STEP, CLASS & MM brand guidelines
Supporting and guiding the Offshore Admin with unfamiliar tasks and arranging any training/job shadowing as appropriate, in conjunction with the Onshore Senior Team Administrators
Ensuring Offshore staff have a broad range of duties to continuously grow and develop their skills in all types of support including administrative, secretarial and document control; organising on the job training and job shadowing as appropriate
Ensuring all regular project duties and administration work are covered when any of the team are on leave including annual leave, sickness, emergency and compassionate leave etc
Mediating and resolving any disputes/miscommunications within Offshore Admin
Daily & weekly collaboration with monthly meetings with Onshore staff, to organise work requirements, discuss process changes, disseminating information to Offshore staff accordingly
Booking meeting rooms for staff
Booking travel, hotels and transfers, ensuring that all required personal safety training has been completed by travellers in advance and that travel is uploaded to the Global Travel Tracker
Creating eForms for approval & routing appropriately
Maintaining group email mailing lists by raising Service Now Requests
Generating reports as required
Reporting any incidents or potential hazards encountered as per company policy
Maintaining data confidentiality in line with the GDPR and company data protection guidelines by ensuing that desktops and surrounding areas are paper free and documentation is stored appropriately
Assisting with any other tasks and projects which may arise on an ad-hoc basis and as requested

Candidate Specification Educated to Degree level
Proven experience in an Administration, or similar role, with at least 3 years GCC experience
Solid communication skills in both written and spoken English
Excellent telephone manner
Sound interpersonal and communication skills with ability to build and maintain effective working relationships with all colleagues
Highly organised with strong, forward planning and time management skills to manage and prioritise teams workload;
Numerate
Excellent level of accuracy with attention to detail
Ability to multi-task and work under pressure
Ability to be resourceful and proactive in dealing with issues that may arise;
Ability to supervise a team of administrators proactively ensuring that a first-class support service to including administrative, project support and document control needs are met;
Microsoft Word, Excel, PowerPoint and Outlook at Intermediate Advanced Level proficiency
Strong customer focus
Enthusiastic and conscientious working nature, hard-working, punctual and reliable
A positive, flexible and helpful disposition with a can do attitude

The Senior Administrator (Offshore) will be responsible for providing an offshore administration service to UAE offices collaborating on a daily basis with Onshore Administration staff in providing a timely and accurate administration service to the business

Capable of and delivering all of the tasks of a Team Administrator, the post holder will also engage in supervisory support and guidance to junior members of the team, ensuring even distribution of work and that all support requests from the business are fulfilled within agreed service levels to provide a customer-centric service

Working closely with Onshore Senior Team Administrators the Senior Administrator will assist with continuous development of the team and investigate ways to streamline procedures and processes and to enhance admin and project support services provided

This role is an opportunity for the post holder to occupy a pivotal role in ensuring that an efficient first-class Offshore support service is delivered to customers in the UAE and offers the post holder an opportunity to widen their range of administrative experience and progress their career by developing their supervisory skills
