Senior Administrative Assistant (Administrative Support Assistant III)

A great opportunity exists for a detail oriented, innovative, confident, and experienced professional to work with a stellar team in a growing business Capital One is looking for an exceptionally bright, multitasking, and self-motivated experienced Administrative Support Assistant III to support 3 to 4 attorneys in the Capital One Legal Department

The ideal candidate is team oriented and has the ability to work with other administrative professionals collaboratively, ideally possesses flexibility, is able to adapt to constantly changing demands, and is capable of taking on new and unfamiliar tasks You are resourceful and autonomous when taking on new tasks and projects, relying on problem-solving skills to make it all work You will partner with multiple attorneys to handle administrative tasks and free up their time to focus on department and company goals This position is extremely pivotal to the success of a well-run, efficient, productive and happy team

CAST (Corporate and Strategic Transactions) is a group within Capital Ones Legal Department that is comprised of a dynamic group of attorneys and legal professionals who provide counsel and support for Capital Ones broad range of transactions, including capital markets transactions, strategic investments, mergers & acquisitions, complex procurement and outsourcing contracts, digital and technology transactions, line of business transactions, partnerships, marketing arrangements, and real estate contracts Attorneys and legal professionals within CAST advise our diversified businesses on a broad range of matters within their areas of responsibility in a dynamic and stimulating environment

In addition, through its bold initiatives, state of the art infrastructure, breadth of talent, and dynamic work environment, the Legal Department of Capital One is one of the most highly admired corporate legal departments in the country

You will be responsible for performing an array of administrative and clerical functions critical to running an organization efficiently, supporting 3 to 4 attorneys on a daily basis You will serve as an information and communication manager; plan and schedule meetings by managing calendars through prioritization and organization; handle travel arrangements; create expense reports and disseminate information by using telephone, e-mail and mail services; plan and coordinate team events You will renew attorneys bar and association memberships and assist in CLE registrations as well as special projects as needed Your communication will be personable while still getting your point across As a team ambassador, you are proficient in clear writing and proofreading with impeccable grammar and composition

Manage calendars for 3 to 4 attorneys, including scheduling various meetings and calls; reserving conference rooms; organizing catering, audio/video, and other essential services as needed; assessing and prioritizing meeting invitations based on last minute changes

Coordinate travel arrangements and create expense reports in a timely manner using Capital One systems

Open, adjust and close legal matters in online data management tools, as requested

Drive key team activities and events (such as all-hands meeting, team meetings, conferences, ordering supplies and social events)

Prepare professional business communication documents including memos, letters, emails and decks

Process mail by evaluating, categorizing, and distributing as appropriate

Be familiar with all office equipment such as scanners, fax machines, copy machines, and multi-line phones

Maintain confidential records and files

Build and maintain good business relationships with executives, associates and administrative staff across Capital One

The ability to manage multiple projects, take on new responsibilities, autonomously provide assistance as required and handle novel issues is critical

Basic Qualifications

High School Diploma, GED, Equivalent Certification

At least 2 years of experience in Microsoft Office Suite (eg, Outlook, Excel, Word, and PowerPoint) or Google G Suite (eg, Gmail, Calendar, Docs, Sheets, Slides, and Sites) applications

At least 2 years of administrative experience

Preferred Qualifications

Associates Degree

5 years of law firm/in-house administrative experience

2 years of experience in verbal and written communications

Familiarity with commercial transactions

Ability to work in a fast-paced environment with minimal supervision

Significant Google G Suite experience, including Calendar management supporting multiple leaders

1 year of meeting and event planning experience

Experience setting up video conference and SKYPE or Hangouts/Zoom technology for meeting users

Experience planning ahead and managing time effectively

Excellent analytical, verbal and written communication skills

Strong organizational skills with impeccable attention to detail

Ability and willingness to work as a team player, with comfort interacting with associates across departments and job levels
