Job profile summary Responsible for working across teams/functions in direct support of executing the sales strategy, assisting in the operational execution of the existing customer base, business development and new account generation through helping with the relevant business administration and assisting with analytical support and insights The scope of the role will influence the grade this can include financial accountability, geographical scope, leadership responsibilities and overall level of responsibility

Job Advert Purpose of role

The Sales Support Officer acts as the interface between the business and the Global Business Service Centre for all processes relating to sales to Air BP Customers The role is responsible for the development and deployment of new and improved processes within the Air BP business and provides assurance that such processes and systems deliver the required control & efficiency outcomes The role provides front line support to the Sales function ensuring smooth operations and excellent execution of order to cash processes The Sales Support Officer is responsible for leading the Continuous Improvement process in Air BP

Key Accountabilities
Process Ownership for the following sales support processes

Customer set up in relevant ERP Systems, including ACDD checks, set-up of customer specific tax exemptions and order, set-up and production of any related customer fuel cards
Location set-up in relevant ERP Systems, including set-up of Ship-To and any relevant system set-up requirements for bulk sales
Entry of customer prices into the Pricing Management System (PMS) or relevant local ERP
Data entry of daily deliveries into data capture systems (FHS, FEP etc) Check stock accounting and data capture reports and make the corrective actions if needed
Monitoring of ERP suspense buckets and liaising with relevant teams to resolve issues preventing deliveries from invoicing
Customer invoicing, including printing and mailing of paper invoices, creation of manual nonoil invoices or reconciliation invoices
Calculation of Pre-Pay customer payment requirements and production and submission of pro-forma invoices to the customer
Collection of customer debt, including chasing for payments, providing statements to customers
Dispute Management

Sales Support to Air BP Account Managers and Location Managers Completion of customer master data template forms (CMT), including Ship-Tos and completion of relevant fuel card order forms
Completion of Location set-up forms, including any relevant Ship-Tos
Provide business guidance on ERP system capabilities
Maintenance of the Charge Model - Set-up and maintenance of duties, fees and charges in relevant ERP systems
Produce any Customs, Tax and Regulatory Declarations, includes reporting of tax exempt sales to GBS and internal tax departments
Produce customer specific notifications Includes changes to duties, taxes and fees, or supply disruptions / stock outs
Operational Assurance from Order to Cash Includes Airport sales; Non-airport bulk and packed products Also links with local IT&S & Air BP IT&S for system integrity and interfaces
Ensure SAP/Systems Operational integrity including, User Acceptance testing, and Regression testing and Satellite Applications
Help realise value through Tracking O2C metrics and develop interventions to address any improvement gaps Route causing of issues / disputes

Educational background
Bachelor degree and / or a minimum of two years experience with a successful track record in sales support and or back office process management

Extensive, relevant business experience
A solid understanding of the Air BP business encompassing a good knowledge of the various marketing functions
A good understanding of Air BP Processes and Business activities or a demonstrated ability to learn quickly whilst managing a complex job
Attention to detail and ability to meet deadlines
Good networking skills are essential as this role crosses multiple business boundaries and geographies
Experience of operating in a multi-cultural environment
Demonstrated ability to engage and influence at all levels internally
Continuous Improvement Knowledge and application within the Air BP Global framework

Expertise Fluent (Business) English and Swedish (written and spoken)

Project Management Skills

Approximately max 10 PERCENT travel in the role
