Overview

The Project Coordinator role is within NetSuite Cloud Operations PMO and will work closely with project managers, project team members, and Cloud Operations leaders to help deliver major organizational projects efficiently The Project Coordinator manages the administrative tasks, such as document and information distribution, report collation and communication support and requires a candidate with excellent communication skills, the ability to develop and maintain strong relationships, and experience meeting hard deadlines

Job Duties and Responsibilities

Coordinate project management activities, resources, equipment and information

Liaise with Project Managers to help identify and define objectives, motivation and scope

Create and maintain comprehensive project documentation, plans, and reports

Help prepare project proposals, roadmaps, and schedules

Manage resource allocation and assignment across multiple verticals

Manage PMO project backlog including stage exits, meeting cadences, and communication distribution lists

Assign tasks to internal teams and assist with schedule management

Create and update dashboards

Develop and maintain executive status reports

Monitor project progress and handle any issues that arise

Work with the Project Manager to eliminate blockers

Update and publish project documentation

Ensure NPO process and methodology standards and requirements are met

Providing information and regular support to stakeholders

Ensuring resources and equipment are always available

Understanding formal escalation and review processes

Providing support to project managers and Cloud Ops leaders when requested

Creating and reviewing of reports, dashboards, and presentations

Knowledge of Project Management industry best practice

Project Coordinator job qualifications and requirements

Proven work experience as a Project Coordinator or similar role

Experience in project management, from conception to delivery

An ability to prepare and interpret flowcharts, schedules and step-by-step action plans

Solid organizational skills, including multitasking and time-management

Strong interpersonal and teamwork skills

Familiarity with risk and resource management

Strong working knowledge of Microsoft suite of applications

Hands-on experience with Confluence, Jira, Zoom, Slack

BS in Information Technology or equivalent

PMP certification is a plus

Experience using Agile, SCRUM, Waterfall project management methodologies

Strong experience in all areas of IT infrastructure including Cloud

Self-motivated, decisive, with the ability to adapt to change and competing demands

Strong ability to multi-task

Able to apply best-practices within and outside the NPO to establish benchmark data and use continuous process improvement disciplines to achieve results

Demonstrated written and oral communication skills with technical and non-technical staff

Proven ability to work in a frequently ambiguous environment and collaborate across multiple organizations to achieve common objectives

Detailed Description and Job Requirements

Coordinates all aspects of internal information system-specific projects from initiation to delivery Projects often involve network, server, or software implementation and upgrades, PC deployment and the like

Coordinates work performed by IT staff and internal customers/partners by defining project specifications, performing feasibility and needs/impact assessments Develops detailed project plans and manages all implementation processes including resource allocation, progress tracking, monitoring change control process, testing, documentation, training and on-time delivery within budget constraints

Work involves some problem solving with assistance and guidance in understanding and applying company policies and processes Gaining competence in own area and acquiring a higher level understanding of role, processes and procedures BS degree or equivalent experience relevant to functional area 0-2 years of previous project management, product design or related experience needed
