We are excited to announce that at this time we are looking for an Office Manager/Operations Administrator to join our team of over 10,000 global field personnel supporting our pharmaceutical and biotech clients

The Office Manager/Operations Administrator plays an integral role in the customer service and organizational strength of our company This role will provide day-to-day administrative and onsite operational support for client-dedicated engagement center team

Responsibilities include

Provide exceptional customer service; greeting visitors and clients and providing general administrative support for client-dedicated onsite teams
Maintain dedicated conference rooms and visitor offices, managing calendar and providing meeting logistics support
Coordinate facilities on-boarding for new employees and client leadership (badge identification, work stations, parking permits)
Daily operational point of contact and administrator for client-managed telephony platform; providing daily operational support, troubleshooting and communicating performance issues and resolution, and training new users
Prepare and distribute activity reports to customer, operations staff, and management
Maintain all project documentation including all service protocols, records and reports according to the scope of work and SOPs
Update and maintain internal databases, tracking systems and project plans
Serve as back-up to operations support staff as needed
Support positive, customer-centric culture
Champion process innovation, changes, and special initiatives
Assist Director of Customer Experience with other special projects and tasks, as assigned

Job Requirements

Bachelors Degree referred
4 years related experience, preferably in contact center environment
Must be customer focused and have excellent interpersonal, written and oral communications skills
Ability to establish and maintain effective working relationship with coworkers, managers and clients
Strong time management and planning skills
Fully competent in MS Office Suite (Word, Excel, PowerPoint)
Working knowledge of audio-visual equipment located in the conference rooms
