The Role Responsibilities

Responsible for supporting the smooth operation of the office
Support activities include but are not limited to facility operations, security, travel, purchasing, catering and food service, coordination of cleaning, office supplies, record retention, HR support and events related to employee relations
Organizing meetings, customer visits and video conferences
Coordinating business travel and accommodation arrangements for the team in China and for visitors from other global offices
Inventory check for stationery, office supply, IT equipment and corporate give-away;
Collect T&E requests from the T&E box and check with the registration form; send the list to HQ AO team via email and courier back all the T&E requests; receive and coordinate with the requestor in case of any missing or wrong material
Tax affairs maintenance work as a local contact for the tax vendor; monthly/quarterly tax documents for chop
Accounting maintain the opening account of SH branch
Work as a local contact for HQ to coordinate with local regulatory authorities; Attend trainings and meetings organized by local authorities
Foreigner affairs registration in local labour bureau for work/residence permit; Employees personal request on register of residence issues
Preparation for new hires ie workstation, access card, name plate, welcome email and telephone directory;
Support in visa application for colleagues in local office as well as for visitors from abroad
Other clerical and administrative support as required by GM

Our Ideal Candidate

Office administration experience;
Pro-active, sense of responsibility, independent and customer friendly;
Well organized, ability to multitask & prioritize;
Strong negotiation and problem solving skills;
Good communication and interpersonal skills;
Strong attention to detail and follow-up;
Excellent verbal and written communication skills in Mandarin and English
Excellent computer skills (Microsoft office, eg Word, Excel and PowerPoint)
Already eligible to work in Shanghai
