Job Description:

Essential Functions Responsibilities, but not limited to Manage all office services time entry management, repairs and maintenance, furniture & equipment leases, postage, etc Must coordinate/traffic scheduling of work flow Must be able to take-charge and Communicate with upper level management Must be able to manage and supervise administrative support staff by providing guidance and delegation of all administrative responsibilities of office Leverage resources to maximize efficiency and increase utilization Supervise/task management of Full time / Part Time admin staff including performance evaluation for - Administrative assistants including redistribution/reassignment when applicable - Facilities - Front Desk - Cleaning Agencies Coordinate training for admin staff and schedule meetings to update policies, procedures, etc Supervise Office Maintenance and Safety in general Supervise Time entry management Monthly MIS reports Work with HR monitoring whereabouts, work from home, flex and part-time staff hours Office supplies - approve and negotiate quotes for supplies Oversee catering and conference rooms for outer office meetings being held in offices Reconcile incoming invoices to corresponding proposals/quotes Responsible for purchase of new appliances, furniture, equipment, etc Negotiate renewal of equipment contracts / AC / Coffee machine etc contracts and monitor and approve all service performed by them Place all service calls for air conditioning problems Coordinate and manage Office Events (Occasional Lunch/Dinners, Tax Season events, Community Service day, Holiday party, Birthdays etc) Responsible for Hotel and Travel arrangements for employees and visitors from overseas offices New Hires assign seating and supplies Order flowers and gifts for all occasions for office personnel Primary contact for all facility matters emergencies, floods, power outages Meet with OMP weekly to review office related matters Assist OMP with other miscellaneous projects Requirements MBA or Masters degree in accounting or finance from reputed and recognized universities Must have a min of 6-8 years of experience as an Office Manager preferably from a Professional Services Firm Working experience in tax environment and understanding of tax due dates a plus Knowledge of MS applications (Word, Excel, Powerpoint, etc) Excellent organizational and communication skills Must be a Team Player Flexible & Multi-tasker Comfortable interacting with various levels of an organization inside and external to the firm Possess Strong Ethical Values Compensation and other benefits Salary Commensurate with Industry standards Other Benefits Provident Fund, Gratuity, Medical Insurance, Group Personal Accident Insurance etc employment benefits depending on the position Perks and Benefits Other Benefits Provident Fund, Gratuity, Medical Insurance, Group Personal Accident Insurance etc employment benefits depending on the position
