About the opportunity Department Description

The Global Distribution Operations (GDO) group are responsible for Transfer Agency for FIL Funds, Platform administration for 3rd party funds and administration for workplace investing schemes globally Luxembourg Distribution Operations focus is Transfer Agency for FIL Luxembourg SICAV fund range and responsible for maintaining the shareholders register on behalf of the Management Company GDO Luxembourg includes a wide range of activities including the site post function, Investor eligibility, AGM handling, unsettled deals monitoring, Tax reporting (FATCA & CRS) and oversight of administration activities performed by outsource providers and internal group companies

Purpose of your role

You will be responsible for managing the Transfer Agency Oversight function for FILs Luxembourg domiciled Investment Funds The TA Oversight teams role is to deliver effective oversight in line with the FIL intragroup delegation policy and regulatory obligations, as well ensuring quality service to our clients

You will be expected to deliver to the highest level when dealing with other internal clients, to ensure that the client facing teams deal with queries in a timely manner with a quality of response that continually exceeds their expectations

You will require excellent communication and organisational skills, together with strong attention to detail You will also be required to retain a level of product and procedural competence as well as an in-depth knowledge of the markets

The role involves close liaison and co-operation with your Manager, relevant Client Service Team, CRMs, Operations Teams as well as a number of other internal contacts

Key Responsibilities

Completion of oversight of activities performed across FIL and externally

Preparation of Tax reporting for Tax authorities

Produce reporting required for governing bodies to demonstrate effective oversight

Keep up to date on key regulatory changes impacted the Transfer Agency and Management Company

Support the relationship with internal/external audit, compliance and risk functions

Ensuring you/your teams timely and accurate delivery of assisgned tasks

Take ownership of issues & escalation and ensure they are resolved timely

Representing Transfer Agency/ GDO when dealing with other Fidelity offices/functions

Develop and maintain a complete understanding of Fidelitys products, procedures and systems, as well as an in-depth knowledge of service offering and distribution

Ensure processes are completed in line with existing policies and procedures and ensure proper monitoring and controls are in place to achieve this

Specific Responsibilities

Support team management activities including staff 1-2-1, goal setting and appraisals

Oversight of delegated activities in line with group policies and regulation, ensuring that all operational tasks are completed in line with policies and procedures

Regular reporting MIS/KPI to track operational performance

Support external vendor oversight /management

Support due diligence of internal groups and external delegates

Completion of End User Computing (EUC) assessments

Completion of Operation Risk assessments (RCSA)

Completion of BCP plans and BCP tests

Annual refresh of procedures and guideline documents

Deputise for Senior Manager

About you Experience and Qualifications Required

Minimum of 5 years of experience working in Transfer Agency Operations or similar in financial industry

Experience in vendor management / oversight considered as an asset

Detailed understanding of the regulatory landscape in the funds industry

Strong supervisory and management experience of a team is essential

Excellent communication and social skills - ability to communicate effectively at all levels

Fluent spoken and written English plus any other language would be considered as an asset (preferably Polish)

Team player who can gain the support and commitment of peers and internal and external service partners

Accuracy and attention to detail in all aspects of service delivery, documentation and reporting

Demonstrate a high level of commitment and professionalism to the role

Ability to work on own initiative and under pressure as a team ~ minimal direction

Strong organisational skills - ability to multi-task
