Job Description:

Job Role

Expense / Budget Management

- Prepare Annual Opex Budget for all offices for Direct Costs (salaries, supplies etc) using the past experience & forecasting techniques for any major repair as per PPM or as per equipment life eg batteries

- Validate all Capex requests and forward to the management with comments & recommendations for review

- Review monthly operating expense as per budget by optimally utilizing the resources for maintaining office infrastructure and facilities and ensure minimum YOY Expense Variance ie Budget vs Actual

Project Management

- Identification of new office space basis the need & financial analysis of available options & recommend the most economical option to the management (considering location, available parking space, age of equipment, adherence to basic guidelines for safety & emergency escape, etc)

- Being the Project Lead for all new facilities, responsible for the timely delivery of the Project starting from Floor layout design, Load calculations for Electrical & Air-conditioning systems, Modular, Chair, Carpet to day-one services considering all operational needs / past challenges

- Effectively manage the procurement, installation & commissioning of all equipment for the new site/office space (eg UPS / HAVC / CCTV / Firefighting system, etc) at Optimal Cost with defined warranty terms

- Ensure handover in time, in Budget with complete Scope

Facility / Office Management

- Responsible for all Administration related functions including Office Management, Front of office, Housekeeping & Security Services, Fire & Safety, Logistics, Asset Management, Printing & Stationery, Liasioning

- Space Management including an expansion plan, in line with the business growth of the organization

- Oversight & Execution responsibility for Events / including coordinating with the event management team, procurement and ensuring that all the arrangements are as per requirement including a backup plan in case of a major event

- Responsible for the cost-effective and timely coordination for all the administrative requirements for all sites across Pan India ie catering to 4000 + employees

- Office Relocation / Transport / Logistics Management for Inter/Intra city travel by always striving to improve service quality and optimize cost

- Ensure to address all queries during the Internal / External Audit

Team Management

- Identify individual strengths of team members and actively foster career advancement by setting targets for the team on an annual basis and reviewing the same on a monthly basis

- Planning, directing, controlling, coordinating and participating in all activities

- Keep the team informed of the philosophies, policies & procedures to be followed

- Actively develop and maintain an environment that supports teamwork, co-operation, work ethics and sustain a high-quality well-motivated team

Team Management

- Identify individual strengths of team members and actively foster career advancement by setting targets for the team on an annual basis and reviewing the same on a monthly basis

- Planning, directing, controlling, coordinating and participating in all activities

Health & Safety Management

- Implement and manage safety equipment/procedures to ensure a safe working environment

- Ensure compliance with statutory regulations on fire, health and safety standards

- Conduct employee safety evaluation drill on a half-yearly basis including basic training for all employees as well as for the support staff
