Job Description:

The position reports into Director IT (shared resource between few IT Directors and HR Director)

PRIMARY RESPONSIBILITIES

Office Management

- Be the point of contact between the executives and company employees/ clients and manage information flow

- Update and maintain information on SharePoint

- Maintains and updates DLs

- Manages contacts using Outlook to conduct up- to- date database; facilitates relationships by familiarizing his/ herself with various life events (such as birthdays, and other major milestones)

- Providing sophisticated calendar management Prioritizing inquiries and requests while troubleshooting conflicts with little guidance; making judgment calls and recommendations to ensure smooth day- to- day engagements

- Act as an office manager by keeping up with office supply inventory

Event Management for teams

Arrange corporate team events to take place outside of the work place, such as team event, off sites and staff appreciation events

- Prepares for meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units and prepares the agenda based on the inputs given

- Supports the larger team in booking meeting rooms and any other tasks as and when required

Visitor management

- planning and managing agenda for visiting leaders and coordinating the associated logistics

- Provide travel and transport managements to the Directors by working with the facilities team

- Work with Corp Comm team & facilities to organize townhalls

Interdepartmental Coordination & Support

- Accurately tracks expenses for Directors by managing credit cards and receipts Processes and submits receipts accurately and on schedule

- Work with the finance team for expense reimbursement for Directors which includes bill pay for expats, directors and above

- Supports the Finance and Operations team for approvals from the Directors

Support in technical training

- Follow- up with IT managers to compile a list of technical trainings on a half- yearly basis and sharing the same with L&D

- Responsible for raising Sourcing requests on Lowe s Kart for trainings approved by IT Leaders, in consultation with L&D and ESS teams

- Provides monthly provisions on training spend to Finance by the 5th of every month

- Processes invoices for technical training programs conducted in a given month and submits relevant documentation to Finance (on- going)
