Facilities Specialist 1 - 19000FA1

Preferred Qualifications

Preferably worked in a large IT sector with minimum of 2000 plus employees transport users with 3 to 5 years experience

Knowledge & Capability to managing automated transport operation environment

Adequate knowledge in Report preparation & Presentation skills


Help desk management- (Calls & Emails management)

Route planning & generation (automated environment)

Deployment of vehicles for Login/logout

Compliance management

Induction of vehicles

Coordination with employees during login & logout

Drop management

Driver Briefing

Coordination with vendor supervisors

Queries Handling

Parking Area Management

Managing women employee helpline

Checking on BGV / PV / POSH trainings to drivers / vendor employees

Regular meetings with the employees to take feedback & take corrective actions on transport operations

Capability to manage high pressure situations like talking / addressing to huge number of employees when there are issues

Capability to manage / provide additional support for transport operations during BCP situations like strikes / bandh etc

Understanding of overall change management including implementation of changes that are required as per company policy

MIS Operation

Pan India Centralized billing verification ( review the monthly billing through automated transport operation Tool across India include tri KM allocation, routing and optimization)

Coordinate with Automation supplier team for any tool based issue/software bug/device issue and resolve

Pan India Reports ( OTA, OTD, Costing, Total Trips, Total Km, Total Employees Pickup & Drop, Seat Utilization, Cost Per Trip, Cost Per Trip KM)

Data preparation and presentation Skill

Billing/operation Data Auditing

Providing appropriate data to the LOBs to substantiate performance of REF


Daily Auditing of the trip completed on the automated transport operation Tool

Resolving Billing Issues

Coordination with vendor supervisors on the billing

Driver Briefing for New Drivers - How to operate the device, communication with employees, behavioral and safe driving

Add on activity - Induction of vehicles

Vehicle Compliance Check - Vehicle Documents Checking & EHS Items in the vehicle

Vehicle - Physical Checking of vehicle

Compliance document checking & update as and when required

Detailed Description and Job Requirements

Provide building and office management services for economy of operation and maximum usage of facilities and equipment Work with external vendors to develop and implement facilities plans Review vendor contracts, onsite vendor performance, timely work order completion, and construction related activities Participate in collaborative space planning efforts with internal resources and user groups Prepare and monitor annual property budget and other related costs in facility planning This position will interface with both senior management as well as individual contributors

As a member of our Real Estate and Facilities team, you will assist the building or office manager in all aspects of daily operations This may include managing Oracles office space and equipment Ensure adherence to company guidelines, processes and building and safety codes Obtain, review and estimate design costs including equipment, installation, labor, materials, and preparation Prepare annual budget Conduct benchmarking

Work involves some problem solving with assistance and guidance in understanding and applying company policies and procedures Excellent communication and decision making skills Familiarity with email and MS Office applications is essential Willing to function as after- hours contact for facilities emergencies May be required to be accessible via phone or pager Degree, relevant certification or equivalent with 0 - 2 years prior facilities or property assistant experience preferred
