Job Description:

He/she provides administrative support to executive officers, the CEO or President Requires in-depth knowledge of company operations, policies, and procedures Handles details of a highly confidential and critical nature Collects and prepares information for use in discussions and meetings of executive staff and outside individuals Prepares presentation materials for board of director meetings Makes high level contacts of a sensitive nature inside and outside the company Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries

Job Responsibilities

Calendar management - coordinate all meetings including but not limited to team meetings, offsite meetings, board and committee meetings and meetings with internal business partners across global time zones
Assist the Office of the Corporate Secretary in the preparation of board materials and communications
Administrative liaison to the Board of Directors, including acting as lead administrative support planning and managing the logistics for all board meetings and related events
Travel planning & support -- domestic & international
Process invoices, purchase orders, and business expense reimbursement requests, including for members of the Board of Directors
Partner closely with the IT organization in preparation for meetings of the Board and executive team
Coordinate assistance with office space and equipment
Assist with onboarding new hires and coordinating the ordering of hardware and peripherals
Providing backup administrative support for other executives

Requirements & Needed Skills

Bachelors Degree or equivalent work experience
Minimum of 6 years of experience as an Executive Assistant Professional, completely discrete and able to work with highly confidential matters
Excellent interpersonal and communication skills (verbal and written) and the ability to interact with individuals at all levels of the organization
Ability to prioritize and accomplish tasks with minimal supervision in a very fast-paced environment and apply sound judgment
Sense of humor, and appreciating a sense of humor, required
Team player with strong interpersonal skills and partners well, develops and preserves positive relationships across the organization
Reliable and highly accessible Available in the office during normal working hours and available after hours, as needed
Demonstrates strong judgment, emotional intelligence, and integrity
Remains calm under pressure with strong executive presence
Possesses the ability to strike a balance between supporting daily needs of the executive, as well as anticipating and quickly resolving problems with a high degree of initiative is essential
Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with Acrobat, BoardVantage, Concur, and Ariba a plus
