Essential Functions

Enhance CEO and Executive Team effectiveness by providing comprehensive and predictive administrative and logistical support

Calendar Management Maintains CEOs calendar (and other Executives as requested) to ensure they know where they need to be and are prepared with necessary materials
Ensures calendars are up to date at all times, and proactively seeks to address any scheduling conflicts
Prioritizes meetings at CEOs discretion
Act as the go-to resource for any management team requests or needs, including scheduling meetings with the CEO and planning team meetings/events

Meeting Coordination Arranges space, hotel rooms, catering, AV and dial-ins for onsite or off-site meetings for executives and other company leaders, and/or guests
Coordinates offsite meals and team building activities within hosts budget and arranges transportation for all guests to/from these offsite activities
Books entertainment and guest speakers/facilitators at events and ensures invoices are paid
Gathers all meeting requirements in advance, asking appropriate questions to clarify needs prior to planning the meeting (ie headcount, space requirements, dietary restrictions, AV/dial-in needs)
Serves as on-site contact for meetings and checks in with host to ensure all needs are met Immediately deals with any issues in a professional manner

Travel Arrangements Arranges complex international and domestic travel for CEO and other executives and any required guests (remote/global employees, customers)
Ensures all aspects of travel (hotels, airfare, ground transportation, parking) and meeting space (catering, meeting rooms, equipment) are arranged in advance

Accountability Record meeting notes and manage action items and information flow among executives and key resources requiring executive input and direction

Board of Directors meetings Works with Board of Directors and their assistants in a professional, courteous manner to schedule quarterly and one-off meeting dates
Arranges calendar invitations, offsite dinners, hotel room blocks, AV, dial-in and catering for Board meetings at HQ and at Board Member offices
Acts as liaison for assistant of Board Member that hosts meeting and provides materials and RSVP details in advance of the meeting

Expense Reconciliation Conducts reconciliation of executive credit cards and expenses
Properly codes personal corporate credit card expenses
Ensures all information/receipts are attached to expense reports and submitted on time
Approves expense reports at CEOs advisement
Is not afraid to ask questions if something related to expenses does not make sense or requires coding clarifications

Special Projects Represents the voice of the executive team on special projects to ensure that their requirements/perspective are included and factored in

Willingness to work with little instruction on day-to-day work
