Executive Assistant

Business Management & Operations


This position serves as a key secretarial and administrative support to the Partners/Principles or other senior managers Taking full responsibility for maintaining their demanding schedules and highly involved in all of their business activities and expected to act with initiative, job ownership and handles confidential information with utmost discretion The goal is to leverage the Partners/Principals time and to enable him/her for client services This position is also expected to work as a team with other secretaries in the local office as well as within Greater China and may also be assigned by his or her supervisor to back up other support staffs office-wide

Throughout their career, EAs will continue to grow within the role, ie, to learn new tasks, to improve on established ones, integrating best practices among their cohort and to adapt their work styles to best support the changing needs of the partner/principle they support Activities will vary, depending on the partner/principles work style and the existing workload The duties described below make up a typical, but not necessarily complete list

This position requires excellent communication and interpersonal skills when teaming with other Business Services staff In addition, good problem-solving and organization skills, attention to details are important especially when supporting the Partners/Principles on various business needs To be effective, the candidate should also be capable of setting priorities, multi-tasking, meeting deadlines and able to work under pressure and with minimal supervision


Technical and functional responsibilities

Meeting/Schedule management Actively manages the calendars for Partners/Principals with an overall understanding of business priorities to offer alternatives, tradeoff and consideration of the most efficient use of Partners/Principals time and provide timely advices/reminders as necessary
With minimum instruction, proactively follows up on emails when copied, and determines the most appropriate next steps from scheduling standpoint
Actively managing choices of third parties , preempting conflicts and solving them without detailed guidance and doing own research to find best options

Travel arrangements Plenty knowledge on logics and terms of domestic and oversea flights
Smartly to plan a travel based on pattern of a partner/principal and seek for the most effective options taking all trade-offs into account
Organizes travel arrangements and take full ownership to co-ordinate point-to-point travel logistics including but not limited to detailed directions, commuting time and passport/visa processing to ensures the Partners/Principals travel on time

Support business development activities

Supports business objectives under guidance by acquiring necessary knowledge in the Practice Area (PA) the partner/principal is working on; building working relationships with clients and client assistants to facilitate information flow and scheduling
Actively and timely manages and administers clients contact/database, ensure the accuracy and timely input of new client contacts into the database
Provides support to client or marketing events the Partners are affiliated with including but not limited to venue searching, agenda co-ordination, setting up the venue and on-site support
Telephone answering, screening in a professional manner, follows up cold calls including but not limited to the Practice Areas that the Partners are responsible for Continue to build up PA knowledge, to ensure potential client calls are properly forwarded to the responsible partners
Actively and regularly keep track of Partners/Principals resumes with the updated profile and accurate the translation Makes sure all the relevant information are always up-to-date Send people the partners resumes upon request by partners review and approval
Develops and maintains good relationships with client counterparts and other internal/external stakeholders
Other case management assistance work, ie opening of proposal code and project code as required
Offer documentation support to partners requirements such as the bidding submission, powerpoint, word or excel and printing and binding, etc
Provides professional support to BCG visitors, assist with settling in requirements and other logistic arrangement coordination, and greet as appropriate



Assists and support new secretaries training and integration
Performs general office duties/assistance as required, provides back-up to other secretaries, AA and reception when needed
Facilitates communication and collaboration across the GC EA pool as well as with other BST functions
Team work with other secretaries when necessary in event, client meeting or other required situation
Support ad-hoc requests as needed

Other responsibilities

Prepares Partners timesheet and expense report and reconcile charges against statement in accordance with company guidelines
Email management/screening if required
Assists partner in other administrative tasks to leverage time, which may include to prepare cost of living reimbursement, medical insurance claims and keep tracking of travel days associated with tax filing in overseas, etc
Liaises with finance and/or other BST functions in setting up proposal/case codes
Performs tasks assigned by line manager


Bachelors degree required with over 8 years secretarial experience and at least 4 years in executive assistant position gained in professional service or multi-national companies
Excellent oral and written communication skills in English and Mandarin Chinese
Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
Ability to analyze and revise secretarial & operating practices to improve efficiency
Able to perform well in a fast-paced, deadline driven and service oriented environment
Exceptional interpersonal and communication skills, able to work effectively with all levels of staff
Deep knowledge of executive business-related preferences
Superior organization and advanced multi-tasking skills, ability to set priorities, detailed oriented and tenacious with follow-ups, dedication to completing & managing projects in a timely manner
Convey a strong positive personal and professional image with excellent standards of professional behavior and ethics
Team player highly motivated, energetic, resourceful and friendly
Service-oriented, flexible and able to work under pressure


Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs
