Assistant Manager, Administration Support, Technology & Operations (Secretarial Suppport) - ( WD07183 )

Business Function

Technology and Operations (T&O) enables and empowers the bank with an efficient, nimble and resilient infrastructure through a strategic focus on productivity, quality & control, technology, people capability and innovation In T&O, we manage the majority of the Banks operational processes and inspire to delight our business partners through our multiple banking delivery channels

Responsibilities

Provide secretarial support to the department head on managing the meeting calendars, arranging business trips, manage the travel expense report, organizing workshops, managing staff events and receiving the visitors from regional office and other countries
Manage department meetings cadence and file the minutes, if any
Manage the departmental administrations including training and eLearning records, staff leave records, office supplies, staff access cards etc
Act as the key contact for liaison on premise administration
Act as the key contact for liaison with technical support for issues related to laptops, Mobile Phone, SIM card, Conference Line, VC and so forth
Act as the key contact for and coordinate people related activities (eg Volunteer work, Fire Warden, etc)
Manage and keep track all the departmental expense including the office supplies expenses, laptop inventory management and travel expenses tracking etc
Manage logistics for trainings & awareness events organized by the department
Arrange staff onboarding and offboarding, manage the updated organization chart and report the latest FTE including permanent and contract staff
Report to the department head and render support to the team heads
Manage department share-point and maintain the access inventory

Requirements

Degree or Diploma Holder with at least 5 years experience as personal assistant to senior management and in office administration
Excellent command of spoken and written English and Chinese (Cantonese)
Well versed in MS Office (Word, Excel and PowerPoint)
Cheerful, well-organized, detail minded, meticulous and self-motivated
Strong interpersonal and communication skills
Discretion, accountability and dependability key attributes to fulfil the demands of this role
