Primary Purpose of the role

- The Organisational Management (OM) Specialist primarily creates and maintains the organisational structure hierarchy in SAP HR, in line with service level agreements to prescribed quality standards The role also works closely with People Business Partners (BPs) to lead system requirements for organizational restructures

Key Tasks & Accountabilities

1 Provide reliable, accurate and timely execution on Organisational Management processes in line with service level agreements

a Execute org restructure requests and effective and efficient query resolution in accordance with prescribed standards and agreed SLA

b Effective diagnoses and translation of business requests for OM maintenance

c Create and maintain Job Families, Functional Areas, Org Units, Jobs and Positions in SAP whilst adhering to prescribed standards and rules

d Execute request form People Business Partners to update and link Job Descriptions, Job evaluation results and Job Family

2 Provide Organisational Management reports and conduct audits

a Effective diagnoses and translation of requests for information and delivery of ad hoc reports to People Business Partners or other key stakeholders as requested

b Conduct audits on the accuracy and completeness of OM and PA objects and report outcomes to the People Operations team and relevant People Business Partners

3 Reliable, accurate and timely administrative support to all operational HR processes across the employee lifecycle hire to retire) process in line with service level agreements

a Contract generation for new hires & employee changes - first time right

b SAP HR transactions & data management, ensuring high level of data accuracy

c Position and organisational management in SAP

d Employee letter generation - parental leave, confirmation of employment, incentive program & merit review outcomes

e In consultation with the Org Management Specialist, support People Business Partners to manage organisational restructures (incl contracts, system operations)

4 First level process, policy and system advice for People team and wider business

a Aim to go beyond just responding to your customers queries on People processes, policies and systems Use your specialist advice on SAP, L&D, Rewards, Talent Management, Talent Acquisition and People Excellence Program to support them all the way to resolution

b Ensure advice provided in a friendly, customer-focused manner and learnings are shared with wider People - ZCC team

c Where query cannot be resolved, escalate to appropriate team leader or COE specialist within agreed service level timeframe

5 Maintain positive relationships with the People team and be an advocate for People processes to the wider business

a Ensure service provided is meeting customer needs by maintaining strong working relationships with stakeholders;

b Take initiative to understand the priorities of the People team and advocate People cycle activities to the wider business

6 Participate in adhoc project work as required, including continuous process improvement

a Contribute to and/or lead adhoc projects as instructed by the People team or Team Leader

b Always look for ways to improve end user experience of our services through process efficiency and quality of outputs

Required Knowledge, Skills & Attributes

Education & Experience

1 Degree qualified in Business or related discipline

2 Must have prior experience working in SAP Organisational Management and SAP HR

3 Intermediate MS Word, Office and PowerPoint skills

4 Advanced Excel skills

5 Prior expertise working as a technical consultant or advisor well regarded

Skills & Knowledge

1 Excellent verbal and written English communication

2 Excellent ability to translate between business requirements and technical system terms

3 The ability to adapt communication style depending on medium, audience & purpose

4 Understands importance of confidentiality and where HR related matters could be sensitive

5 Exceptional customer orientation - always considers the customer first and will case manage queries through to resolution

6 Takes initiative on the identification of issues, consulting broadly within and across teams until root cause is identified and fixed
